Effective meetings: what matters most for successful leaders
Leader question: have you ever thought about how to improve your meetings?
As a leader, it's important to identify certain (facial) points before, during and after meetings to ensure effective and productive meetings.
Because maybe an example or two sounds familiar: You've been invited to a meeting without an agenda? You don't know your purpose in the meeting? No one took notes and no next steps follow? If you got 1 nod, pay attention and do better.
A clear structure will allow the meeting to get to the point and avoid unnecessary discussion or distractions, which in turn will save you and your team valuable time.
👉🏼 Before Meetings:
- Goal Setting: Define clear goals for the meeting and make sure they are understandable to all participants.
- Agenda & Schedule: Together with your team, create a structured agenda with the topics to be covered during the meeting and plan a realistic time box.
Participant Selection: Invite only those who absolutely need to attend the meeting to ensure an efficient discussion and not waste anyone's time.
👉🏼 During the meeting:
- Timer & Facilitation: pay attention to the schedule and make sure the agenda is talked through. You can put someone on your team in charge so you can use your focus to accomplish goals.
- Notes & Minutes: Select someone to take notes during the meeting and provide meeting minutes with Next Steps afterwards.
👉🏼 After the Meeting:
- Performance Review & Follow-up: Get an overview of the progress of the defined Next Steps and schedule follow-up meetings as needed.
- Obtain Feedback: Ask participants for their feedback on the meeting to identify possible improvements for future meetings.
Notice:
A good meeting structure contributes to successful collaboration. Meetings are a valuable resource for sharing information, making decisions, and building team spirit.
