How to say no to unnecessary meetings
Leader question: do you find it difficult to say no to meetings?
As both a junior and experienced leader, it can be challenging to question and even opt out of attending meetings.
Imagine you've worked as a leader for many years and you receive invitations to all meetings. How do you handle it?
On the other hand, imagine you are brand new in your leadership role and may not know your colleagues that well. Do you dare to say NO?
If you feel that a meeting invitation is unnecessary for you, there are some steps you can take to respond:
✅ Is there an agenda?
Read the meeting invitation carefully. Consider whether the meeting topics are relevant to you and whether you can or will contribute. If there is no agenda, ask.
✅ What is the purpose of this meeting?
Make sure your role in the meeting is clear. If you are unsure if you are really needed, ask the meeting organizer about your role and responsibilities.
✅ What is your personal prio?
Consider whether your current tasks and priorities allow you to attend this meeting. If you're already busy with important projects, it might make more sense to focus your time there.
✅ Communicate clearly:
Imagine you realize that the meeting is unnecessary for you. You could say, "Thank you for inviting me to the meeting. After reviewing the agenda, I think my attendance may not be necessary as I am currently working on [your current projects]. However, if there are specific items where my attendance is important, please let me know."
✅ Availability for important items:
If there are specific points in the meeting where your expertise or opinion is needed, you can offer to make yourself available in a shorter time slot just for those points.
Notice:
It is absolutely permissible and even recommended to question meeting attendance if you feel your presence is not necessary or useful. Efficient communication and use of the shared resource of "time" are critical to organizational productivity. By questioning meeting attendance, you demonstrate a sense of responsibility and a desire to use your time and the time of others wisely.
